Key Responsibilities:
- Serve as the first point of contact for clients and visitors; greet guests and provide a professional, welcoming experience.
- Provide administrative and operational support to advisors and staff, including preparing meeting materials, correspondence, and presentations.
- Coordinate office functions such as scheduling, supply ordering, and vendor communications.
- Assist with document management, data entry, and maintenance of client files and records.
- Support the preparation and distribution of client communications and marketing materials.
- Utilize Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other internal systems to manage workflow and documentation.
- Collaborate with colleagues to ensure efficient office operations and adherence to firm standards.
- Assist with payroll or other administrative tasks as needed
Qualifications:
- 3+ years of administrative or office management experience;
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook); comfortable learning new systems.
- Exceptional attention to detail and organizational skills.
- Strong communication and interpersonal skills — able to interact effectively with clients and internal teams.
- Professional demeanor, reliability, and ability to maintain confidentiality.
- Must be available to work onsite five days per week
