Cowley Companies is a privately held family investment office that manages a diverse portfolio of investments, real estate holdings, trusts, and philanthropic endeavors. We are seeking a highly organized, discreet, and proactive Office Manager & Executive Secretary to support both daily operations and the principals directly.
Position Overview:
This dual-role position combines office management with executive secretarial responsibilities . The ideal candidate is a polished professional who thrives in a dynamic, private environment, someone who can anticipate needs, manage complex schedules, and ensure seamless communication and organization across the office.
Key Responsibilities:
Administrative & Office Management:
- Oversee the smooth day-to-day operations of the office.
- Manage relationships with vendors, advisors, and service providers (legal, accounting, investment, property, etc.).
- Maintain organized systems for filing, records management, and document retention—both digital and physical.
- Handle some property management administration, including insurance renewals, maintenance schedules, and compliance tracking.
- Support philanthropic activities, foundation administration, and event logistics.
Executive & Secretarial Support:
- Manage complex calendars and scheduling for principals and senior executives.
- Prepare correspondence, meeting minutes, presentations, and reports.
- Coordinate travel logistics—flights, accommodations, itineraries, and visas—ensuring seamless arrangements.
- Screen calls and correspondence with the utmost professionalism and discretion.
- Maintain confidentiality regarding all personal, financial, and business matters.
Qualifications:
- Bachelor’s degree in business, communications, or a related field preferred, but not required.
- 5+ years of experience as an office manager, executive assistant, or secretary—ideally within a family office, private investment firm, or professional services environment.
- Exceptional organizational skills and meticulous attention to detail.
- Strong written and verbal communication skills with a polished, professional demeanor.
- High level of discretion, trustworthiness, and emotional intelligence.
- Proficiency in Microsoft Office Suite, Google Workspace, and document management tools.
- Ability to manage multiple priorities and adapt to changing needs.
